How does e-invoicing via Peppol work?

Electronic invoicing via Peppol is a secure way to send and receive digital invoices automatically. Instead of emailing a PDF, your invoice is sent in a standard format (such as UBL) directly to the recipient over a protected network. But how does that actually work? In this article, we’ll explain it step by step.

What do you need to send invoices via Peppol?

To send e-invoices via Peppol, you will need the following:

  • A Peppol ID: This is your unique address on the Peppol network.
  • Access to a Peppol Access Point: This is often integrated into your accounting or invoicing software (such as Exact, AFAS or Twinfield).
  • An invoice in UBL or XML format: These are standardised file formats that the network can process.

With these elements in place, you can invoice safely and automatically through the Peppol network. If you are using software that supports Peppol, you usually won’t need to arrange these steps yourself.

Step by step: how e-invoicing via Peppol works

  1. You register on the Peppol network via an Access Point, which is often provided by your accounting software.
  2. Each business receives a unique Peppol ID (often based on a company or VAT number).
  3. You create your invoice in your usual accounting software.
  4. When sending, you select the option ‘Send via Peppol’. The software automatically converts the invoice into a structured UBL format.
  5. The sender’s Access Point sends the invoice securely through the Peppol network to the recipient’s Access Point.
  6. The invoice arrives directly in the recipient’s accounting system and is ready for processing.
